Reservations may be taken in person, mail, or over the phone. Clerks makes note of all reservations received either entering them on a computer or filling out a form for the company file. The agent is responsible for making sure that the details of the reservation are correct. Details such as the type of car requested, the dates the car is to be in used, anticipated mileage, or destinations. In some cases it should be clear if the customer is planning to return the car to the original or different branch of that particular rental agency. Clerks accept preliminary payment for the reservations by credit card. In rare cases, transactions involve cash, and that is usually done in person or if someone mails in a check accompanying their reservation.

When customers come to pick up their car the rental agent checks to make sure that particular vehicle is available and is in good condition. The car should be clean and running well. The agent should know the condition the car is in and make note of any damage done to the car. Agents also make sure the terms in the rental contract have been carried out, and that the customer is receiving the automobile or type of automobile he or she originally requested. In situations where a car is no longer available for the customer, many times the agent will offer them a larger, nicer car at no additional cost. Once the car has been returned by the customer, the agent must calculate mileage and the duration of the rental and are also responsible for adding any tax, or additional fees. The agent enters this information into a computer and presents the customer with an itemized invoice. In addition, the clerk assesses the condition of the returned car to ensure that there has not been any damage while it has been out of the agency.

Agents may work with a number of different people within the rental firm. They may delegate certain tasks to others and oversee their completion, acting as a coordinator in logistics jobs and services. Agents from different branches of the same firm may assist each other and coordinate efforts for pick-ups and returns that occur at different locations. Car-rental agents should understand that in dealing with the public, courtesy and thoroughness are important qualities. Good rental clerks should be patient, have good organizational skill, and neat work habits. A cheerful manner and good sounding voice will make a customer feel at ease while making a purchase.
