As the Administrative Assistant II (Fixed-Term), you will ensure that our operations are running smoothly. Whether itu00e2??s organizing files, arranging schedules, preparing reports, or proofreading our correspondence, no task will be too big or too small for you to handle. With so many events and renovations ahead, we need you to be energetic, passionate, and driven! The Accountabilities: Provide general administrative support, reception, and office assistance. Organize and expedite flow of work through supervisor's office and/or administrative department. Initiate follow-up action. Serve as a resource to others on departmental and university procedures or in the resolution of moderate to complex problems or issues. Interact with university offices and/or supervisor's subordinates to facilitate communications and information exchange. Compose and produce a variety of business correspondence, reports, confidential documents and/or forms, and related materials or guide the work of other staff who produce these materials. Review and sign, as authorized. Ensure confidentiality and control access to sensitive information such as faculty or staff personnel files. Coordinate department public relations functions, as assigned, such as special events, conferences, seminars, etc. Arrange with vendors for sites, facilities, catering, guest accommodations, etc. Coordinate production and/or distribution of promotional materials. Research and gather data for departmental reports. Assist in budget preparation by gathering historical data in a limited area, such as materials and supplies or salaries. Track and monitor assigned budget expenditures and/or special actions and reports on variances. Screen and prioritize incoming calls, determining what contact or action is required for satisfactory disposition. Maintain unit or departmental database and related records. Enter and/or verify database transactions. Assist in maintaining office equipment and purchases. Provide guidance and direction to staff and/or student workers, as assigned. Schedule, assign or prioritize workloads. Set appropriate deadlines. Assist with the coordination and distribution of employee recognition awards. Perform other related duties as assigned or requested. The University reserves the right to add or change duties at any time. The Qualifiers: Education: Bacheloru00e2??s Degree Experience: 3 years Expertise: Secretarial or specialized clerical and administrative experience Needs to operate, maintain, and demonstrate varied office equipment Presents oneself professionally, in line with higher education environment Demonstrated customer service, interpersonal, and communication skills Must be organized and attentive to detail What We Prefer : 4 years of secretarial, executive and/or administrative support Experience in transportation and/or University environment Ability to oversee student, temporary, and/or resource workers Additional Information: This position is a 6 -Mo nth Fixed-Term Assignment.
